I KNOW What You Did Yesterday

Allow me to take a stab at what your day included yesterday.

I’m willing to bet that you woke up and listened to your voice mail messages from clients. They were asking repetitive and inane questions that you’ve already answered. Then you checked your email…only to find more of the same.

You hunted for that contract you need to turn in at the office, to no avail (next week you’ll find it in your back seat, under yard signs, with coffee dribbles on it). After arriving at the office, the office assistant reminded you about the mandatory meeting in the afternoon…the meeting that totally slipped your mind. Your appointment with the first-time buyers from out of town may have to be rescheduled.

In your office, you stared at your database, trying to make sense of it, ardently wishing for divine intervention. When none was forthcoming, you spent way too much time on hold with tech support. That call made you late for your meeting. Once the meeting adjourned, you tried to post your new listing to various websites, but you had forgotten your passwords.

In order to clear your head, you decided to drive out to that new development site you’ve been meaning to scope out, but you ended up taking a call from the title company about that contract you still can’t locate.

Totally spent, you called it a day.

Every single one of these things could have been avoided by using better time management (otherwise known as hiring a REVStaffing virtual assistant). Your digital assistant will answer your voice mail, check your email, electronically organize your contract paperwork, maintain your calendar, and manage your database. They can do more than you can in your frenzied state: They can also enhance your social media profile, plan client gatherings, put out a newsletter, and mail out personalized cards.

I’ll venture that the one thing missing from your day is a personal life. You probably don’t have much of one, what with all of that running around. Wouldn’t it be nice to squeeze in a leisurely walk through that new development? Or to meet clients for a relaxed cup of coffee (instead of spilling it all over paperwork in your haste)? Call us now…if you hurry, you may have time to meet a friend for lunch!

After an overwhelmingly positive response to her blog post last week, today we hear again from REVStaffing’s Transaction Coordination Manager, Mercedes Castillo. We welcome her as a regular contributor to the blog, and we know you’ll enjoy reading her thoughts on this – and other topics – in the coming weeks and months…

I know that I’m better than any in-house assistant out there. How do I know this? Well, I never take sick days. I work until the job is done. Best of all, I don’t leave messes in the break room for others to clean up. Also, I speak “real estate,” and I know Top Producer like the back of my hand. I know the difference between a short sale and a quick sale. And if I should ever, heaven forbid, take to my bed with the flu, one of my fellow virtual assistants can plug right on with my work. Can you say that about your in-house assistant?

Don’t be jealous; there’s no need for that! Just hire me or one of my fellow REVStaffing virtual assistants.

We really are the best. With free training on virtually every type of real estate-related task, it is almost impossible to stump us with a real estate program or software we have not seen. On the off chance that we are not familiar with a program, we’ll learn it – on our dime, not yours. Once we’ve learned it, we are happy to train you or your in-house staff; we like to make sure everyone knows what we know.

The real beauty of hiring a REVStaffing VA is that you’ll only pay me what it takes to finish the job. Since we bill to the minute, you don’t have to worry about paying me to stare idly into space waiting for the phone to ring, or to sit in traffic behind the morning’s rush hour wreck. I like it when clients are impressed with my speed and accuracy, barely believing that they were paying their in-house assistant seven hours to enter a listing that took me two hours – with no errors.

There’s nothing wrong with an in-house assistant, I am just saying that I am better. With a team of excellent back-ups behind me and endless hours of training, real world real estate experience and many happy clients, who do you think gets the job done more efficiently? Honestly, who would you rather pay? Me – or that in-house assistant who’s updating her Facebook status every hour on your payroll?

REVStaffing’s virtual assistants are professionally dedicated to providing you with unparalleled customer service. We encourage you to give us a call for a free needs analysis; we’ll be happy to discuss your unique business needs! And be sure to visit our website, and “like” us on Facebook at http://www.facebook.com/RevstaffingVAs.

Occasionally, the REVStaffing blogging crew hands over the keyboard to one of our own virtual assistants; our readers are as fascinated as we are to know about the incredibly different ways in which our staff members spend their days. Today, we welcome you to a day in the life of our Transaction Coordination Manager, Mercedes Castillo. She says:

I am the envy of all of my friends. Not only do I work, but I manage to have a clean house, a happy child and a (meager) social life. I find time to read good books, see good movies, and even practice yoga.

Want to know my secret? I am a virtual assistant at REVStaffing.

As a single mother, I made the conscious decision to spend as much time as I could with my daughter. I found a company that appreciates my unique skill set and real estate background, and I could not be happier. I am now a Team Manager, overseeing the Transaction Coordination division, as well as part of a two-person team in charge of new client launches and overall client care.

On a typical day I wake up, go through my email, and then check in with my work partner. I get my child off to preschool, while checking email on my phone. Once home, I call clients and check in with my work partner again. Then I touch base with any virtual assistants assigned to my clients, to assess project progression and answer questions. Once that’s done, I continue to check email while squeezing in a little housework, answering client calls, and picking my child up from school.

As the day progresses, I’ll continue to check in with my work partner, both on the phone and via email. After cooking dinner, I will head to a yoga class to de-stress, then come home for bedtime for my child. Once she’s down for the night, I’ll squeeze in some more work, checking in with my partner and running through the last emails of the day.

What about tomorrow? Why, I’ll wake up and start the same routine all over again!

There’s no way I could do this alone; my work partner is the best anyone could ask for. We both realize that working at home does NOT mean working every minute you are at home. However, timeliness is necessary and it’s rare that things get pushed off to the next day.

While none of this is easy, it seems less like “work” than it really is. Why? Because most days, I really love my job. My clients are thriving. They are successful Realtors® who need and value REVStaffing’s services. My co-workers are caring, hard-working and, quite simply, the best in the business. Whether it’s a completely straightforward closed transaction, or the hard to measure gauge of “client satisfaction,” my work allows me to see an end product. I embrace the fact that my paid time is mine to earn: the better job I do entering a listing or proofing a newsletter, the more work I will generate from a happy client.

Right now, my dogs need to be walked, and I need to prepare for an afternoon conference call with a big client. Hopefully, I’ll have time to touch up my pedicure before then!

Like Mercedes, all of REVStaffing’s virtual assistants are professionally dedicated to providing you with unparalleled customer service. We encourage you to give us a call for a free needs analysis; we’ll be happy to discuss your unique business needs! Today, REVStaffing was thrilled to host our monthly open webinar; this time we put ActiveRain in the spotlight. We were incredibly fortunate to have Anthony Van Vactor with us. Anthony is ActiveRain’s “Genius Blog Training” guru; he brought to ActiveRain over six years of real estate sales and marketing experience, primarily in mortgage lending. His focus is on communication, and he proved to our audience today just what a terrific communicator he is!

Our webinar participants – including several of your REVStaffing virtual assistants – came away well-prepared and excited about becoming local experts. You may know that ActiveRain is the top real estate social network in the world. But did you know that they record over two million monthly visitors, primarily to their members’ blog posts? That’s more than impressive – it’s stellar!

The key to truly appreciating this fact lies in understanding that ActiveRain blogs – when written correctly – very often wind up at the at the top (and almost always on the first page) of Google keyword searches. Those searches drive business. And as Anthony explained, once you land that coveted #1 spot on a Google search, YOU STAY THERE. Indefinitely.

In case you’re not familiar with some of this terminology (and many of us aren’t!), here are some key terms to know about blogging. First, the word “blog” is actually a shortened version of the original term “web log.” Second, a blog is either a type of website, or is a stand-alone site on the Internet. Third, blogs are posted to the Internet in chronological order. And finally, a blog focuses on a particular area of interest. Think of a blog as being an email that’s available for everyone to read.

Anthony pointed out two important statistics:

  • Companies that blog get 55% more website visitors than those that don’t

  • Companies that blog generate 88% more leads than those that don’t

Anthony asks clients the same question REVStaffing asks: Do you blog? If the answer is “no,” you need to ask yourself another question: Can you afford NOT to blog?

Remember – as Anthony pointed out very succinctly – joining a social network is 10% of your job as you increase your social media presence. Using those social networks (most often by blogging) is the other 90% of the job. REVStaffing wants to help you become the undisputed local expert in your market, and we offer blogging services designed to make that a reality.

ActiveRain is the only online network offering a wide variety of tools, diverse services, and proven solutions to both the professional real estate industry and consumers on the Web.

REVStaffing is prepared to help you implement Anthony’s ideas for blogging on ActiveRain, and we have the tools and know-how to grow your Internet presence. We encourage you to give us a call for a free needs analysis; we’ll be happy to discuss your unique business needs! Today’s REVStaffing blog – in recognition of the tenth anniversary of the events of September 11, 2001 – was compiled and written by our manager for advanced social media and blogging, Deb Rose, with input from several members of our staff.

Today we live in – and countless numbers of us have grown up in – what’s known as the “media age.” For many of us, electronic media has informed and shaped our lives and our world views. Do you remember watching televised footage of John Kennedy’s assassination? The Martin Luther King, Jr. assassination? Bobby Kennedy’s? Were your 1960s dinners served with seemingly endless footage of the conflict in Vietnam? Were you riveted to the television when Neil Armstrong took the first stroll on the lunar landscape?

The occurrences listed above are, for many Americans, little more than events chronicled in the canons of American history and on film. But for virtually every adult alive in this nation today, the events of September 11, 2001 are a testament to both the power and the incredible endurance of the media in the modern American landscape. As you spend time on this tenth anniversary of the tragic events of September 11 surfing the Internet and watching cable television, we urge you to seriously consider exactly what those events mean – today – to you as an individual and to America as a nation.

Think first about your own memories of that day. Here are paraphrased excerpts of three members of our REVStaffing team’s memories. They are reflective of some of humanity’s very best instincts:

“I worked in the advertising department of a local newspaper, and I had lived in the New York City area. Our paper had an Associated Press wire, so we saw things about eight minutes before they hit the public media. Many of those images, due to their graphic nature, were never released to the public, and they haunted me. Three weeks later, I attended a Giants game in New York City. I was struck first by the altered skyline of the city, then by the number of first responders in attendance at the game. When we had a moment of silence, you could literally have heard a pin drop. It was a beautiful way to remember those that we had lost, and cherish the memories that we had.” Debi, Tech Guru

“The attacks happened while I was in the car, listening to an audio book, on the way to the bank. The bank had TV monitors on; some people were crying while others explained to me what had happened. It was only days later that I remembered that there was an Indian woman, wearing a sari, in my line. There were African-American bank employees. There were South Americans cleaning offices. In other words, I shared the experience with a whole mix of America.” Mercedes, Transaction Coordination Manager

“I was working in Atlanta and was in the office early. Someone rushed into our suite and announced that one of the Trade Center towers had been bombed. We raced to another office where a television was on; I remember watching in shock and astonishment and thinking, “Dear God, all those people.” We all had some connection to New York; the office closed and I went home. When my husband arrived, we began calling family on Long Island. Several cousins were police and fireman who were working as first responders. My mother in law drove a school bus on Long Island, and told us that every child on her bus and been affected or suffered a loss of some type that day. The pain of the children was immense, and over the following weeks she became a face of comfort and stability in their lives. In the years following, I have baked cookies and taken them to local fire stations, an sponsored Sunday School classes honoring local volunteer fire stations. It is a lingering, deep hurt – and yet, there is so much pride in the fact that so many heroes were born of that tragedy. God bless our country and the brave men, women and children who were lost that day.” Deborah, REVStaffing CEO

Think too about the fact that September 11 unfortunately brought humanity’s worst instincts to the surface, too. The media has inundated us with two immutable facts. First, too many Americans learned too quickly and without question to equate patriotism with blind government obedience. And second, others too readily embraced despicable xenophobia toward Muslims and people of Middle Eastern descent. Unjust and unfair racial and religious stereotypes came to shape the perceptions of far too many of us.

Even in the age of virtually spontaneous media dissemination of all things good, bad and ugly, ten years is hardly enough time for a true historic assessment. Again, we ask that you think hard about, and reflect seriously upon, the events of September 11, 2001. It may take a moment; it may take a week. Use that time to reflect upon – and resolve to correct – past shortcomings. Let those of us alive today leave a legacy of hope, understanding and compassion; these are the true and abiding characteristics of a society where, in the words of Romanian columnist Cornel Nistorescu, “Freedom can work miracles.”

Earlier this week, Real Trends Inc. (a real estate consulting and communications company), in conjunction with The Wall Street Journal, released their annual list of the top 1,000 real estate sales professionals in the country. “The Thousand” is based on 2010 data, and REVStaffing is delighted to share the news that not just one but SEVERAL of our current and past clients earned this prestigious honor.

Sue Adler has been a REVStaffing client for four years, and her team placed 104th on the Real Trends list. Sue and her team have worked diligently to achieve this incredibly commendable distinction. REVStaffing is proud and honored to have, in some small part, contributed to their outstanding achievement; they’re not just Top Producers; Sue is a leader and mentor in the field. Her dynamic leadership stands as a testament to her excellence.

Seth Campbell, a three-year REVStaffing client, placed 100th on the Real Trends list. We know firsthand just how hard he’s worked to earn this outstanding honor. It’s a sincere pleasure for us to work with Seth, and we’re thrilled that his commitment to superiority has been recognized in such a prestigious ranking.

The Hoffman Murphy Team earned 194th place on the list. They’ve been REVStaffing clients for just over a year, and they’re known for their high energy, sincere integrity and client satisfaction (as well as their abilities to sell homes fast!).

Always providing “Beyond your expectations customer service,” The Tello Team placed 30th on the Real Trends list. REVStaffing clients for just over three years, Natascha and Chris are always ready to prove that they’re not number one – YOU are.

REVStaffing also extends a hearty congratulations to The Jills of Miami Beach, Ellen Mitchel of Hollywood (FL) and The Dan Grieb Team of Orlando for their outstanding and admirable achievement in placing 32nd, 14th, and 170th respectively in the Real Trends 2010 Top 1000 Realtors list! It’s so gratifying to know that several of our former clients have earned this prestigious honor, and it was a sincere pleasure working with them!

Remember a few months ago when REVStaffing went to camp? Well, we had so much fun the first time that we had to do it again! Last week, we attended Social Media Marketing (SMM) Camp 11, hosted by Ross Hair. This time, the subject was Video for Real Estate, and we walked away with a brand new arsenal of tips and tools for our clients.

The presenter list was, as always, star-studded. Look at the list of experts from whom we learned: Krisstina Wise and Emmy-award winner Carlos Reina from the Good Life Team showed us the future of video marketing and shared how to use video for the real estate business; Dale Chumbley (Mr. 365 Vancouver) showed how to add video on the go and effortlessly incorporate it into our clients’ daily business; Jimmy Mackin shared a number of video ideas that can be done right now – and how to add video to Facebook; The Short Sale Kid (Nathan Jurewicz) showed us how to produce video without going on-camera. Finally, Lewis Howes and James Wedmore are experts on getting traffic from video.

Here are some of the highlights of this fun and incredibly informative experience:

  • The purposes of video (including real estate in video) are to engage, educate, and entertain a targeted audience. You’ve got to know who they are, what they want, and how to market to them. Think about YouTube. Did you know that it’s the third most-visited site in the world? It’s the world’s second largest search engine. Over three BILLION videos are viewed on YouTube EVERY DAY.

  • It’s good to keep a “Gone in 60 Seconds” perspective, rather than undertaking a remake of “Gone With the Wind.” Keep it short. And while your mom probably wouldn’t mind listening to you ramble aimlessly, don’t give a monologue. Be fun. Be interesting. Be succinct. And, with very few unnotable exceptions, be SURE you’ve got a call to action in there!

  • Don’t use the way you look as an excuse not to use video – you’re not auditioning to be “America’s Next Top Model.” You don’t even have to be onscreen! And don’t use these excuses, either: It takes too much time. It’s too much effort. It requires professional videography equipment. It requires an expert editor. And last but not least on the unacceptable excuses list: “I tried it. It didn’t work.” The bottom line is that simple, straightforward videos that are less than two minutes long are incredibly effective.

  • Video is the best source of traffic to your blog and your website. It’s free. If you’re consistent and upload new video weekly, you’ll get exponential results. And it’s a guaranteed brand builder.

We can help you to make and use video to grow and nurture your successful business. We encourage you to give us a call for a free needs analysis; we’ll be happy to discuss your unique business needs! Be sure to visit our website, and “like” us on Facebook at http://www.facebook.com/RevstaffingVAs.
